Continuous Improvement managers divide their time between planning and conducting events, managing follow-up on action items, and reporting on the company’s improvement efforts. Each stage has its own challenges, and The Lean Office is here to help throughout the process.

CI management process

Plan & Conduct Events

Problems:

  • No standard approach or management of improvement activities, especially across locations.
  • No access or process for managing previous events makes them hard to refer back to later.

Solution:

Using the Kaizen Events, 5S Audits, and Gemba Walks modules makes it easier to standardize and simplify the planning and executing of improvement events. A few features:

  • Capture suggestions and observations
  • Easy to understand, fully customizable templates based on your process
  • Quickly recall past events in the same area or improvement topic

The 5S Audits module allows users to manage and perform fully-customized 5S Audits from a computer or tablet. Information and pictures are stored and accessible for later review.

5S Audits

The Gemba Walks module allows users to manage all activities related to "going to see" the work, including making observations, uploading pictures, and capturing action items - all from a tablet or smart phone.

Gemba Walks

Benefits:

Using the Kaizen Events, 5S Audits, and Gemba Walks modules makes it easier to standardize and simplify the planning and executing of improvement events. A few features:

  • Standard process for conducting events across areas and locations
  • Less time spent preparing and managing events
  • Easier to manage recording inputs and decisions from events
  • Ensure that everyone leaves events knowing what’s expected of them going forward

Action Item Follow-Up

Problems:

  • No visibility to action items decided on during events and activities, especially in other locations.
  • Even after problems have been solved, the solution isn’t implemented.
  • Lots of time spent following up on action items, or follow-up doesn’t occur (no accountability).
  • People attending events aren’t aware of status of solutions being implemented.

Solution:

Action Items generated as part of Kaizen Events, 5S Audits, Gemba Walks, and Meetings are all accessible and managed via the Action Items module. A few features:

  • Users manage a consolidated list of action items they are responsible for completing
  • Updates to action items also update status of other events and activities
  • Managers and others in the organization have a global view of action item status and workload

The Action Items module allows users and teams to manage action items in a single, consolidated list. Inputs for action items come from several modules (Meetings, Projects, Kaizen Events, etc.), and updates to the Action Items module are also reflected in the source module.

Action Items

The Kaizen Events module allows users to manage event suggestions, coordinate and plan for future events, and manage action item follow-up after the event ends. Information on the impact of the event is also captured, allowing the team to measure year-to-date impact of Kaizen Events across the organization.

Kaizen Events

Benefits:

Using the Kaizen Events, 5S Audits, and Gemba Walks modules makes it easier to standardize and simplify the planning and executing of improvement events. A few features:

  • Standard process for managing action items across the organization
  • Less time spent by CI managers following up on action items
  • Less time spent by employees managing multiple to-do lists from different inputs
  • Action items actually get done, meaning solutions get implemented sooner
  • People attending events or involved in activities see and experience momentum of changes

Reporting & Improvement PR

Problems:

  • Hard to show benefits of Lean/CI initiatives within the company, people question the return.
  • Data gathering to support improvement work takes significant time.
  • After results are gathered, most in the organization still aren’t aware.

Solution:

Each module’s management page is built to provide an instant status update on action items tied to an event or activity in real time. Data is collected as part of the process, and reports and visuals tell the story for your team. A few features:

  • Kaizen Events include an “impact” section, which can be rolled up to show YTD global impacts
  • Data on action item completion and timing is captured as part of the process
  • Real-time reports and visuals help keep the team aware between update meetings

Follow-up on Gemba Walks can be difficult. With the Manage Gemba Walks page, it's easy to see what still needs to be done, and how long improvement items are staying open.

Follow-up on Meeting action items can be difficult. With the Meetings module, users can stay organized with meeting action items, and users have full visibility to action items they have been assigned.

Manage Meetings

Benefits:

Using the Kaizen Events, 5S Audits, and Gemba Walks modules makes it easier to standardize and simplify the planning and executing of improvement events. A few features:

  • Less time spent gathering and managing data on CI activities
  • Those interested in status of activities can access between update meetings
  • Employees can more easily see how their input and participation drove results
